This Privacy Notice explains how we process personal data in connection with our websites and services.

We act as a data controller.

We have not appointed a Data Protection Officer; use the email above for any privacy queries.

We provide B2B services and do not target consumers.

1. Data we process

We only process data needed for clear B2B purposes:

  • Identification & contact: name, role, company, email, phone, language.
  • Account & access: login, permissions, basic usage logs.
  • Contract & billing: company details, invoicing data, payment references.
  • Communication: emails, meeting notes, inquiries.
  • Usage & technical: IP address, device/browser info, basic logs for security and performance.
  • Marketing preferences: newsletter/event opt-ins/opt-outs. We send marketing communications only (i) where you are an existing or former customer and we rely on our legitimate interests, or (ii) where you have given us your consent. You can opt out of marketing at any time by using the unsubscribe link or by contacting us at info@builtmind.com.

We may receive your data directly from you, from your employer/colleagues, or from public sources (e.g. website, LinkedIn) in a B2B context.

We do not sell personal data.

2. Purposes and legal bases

We process personal data only where allowed by GDPR:

  • Contract (Art. 6(1)(b)):
    • creating and managing accounts,
    • providing and operating our services,
    • handling orders, invoicing and support.
  • Legitimate interests (Art. 6(1)(f)):
    • communicating with business contacts,
    • securing and improving our services,
    • preventing misuse and defending our rights,
    • reasonable B2B direct marketing to existing or potential customers (you can opt out anytime).
  • Legal obligations (Art. 6(1)(c)):
    • accounting, tax and mandatory recordkeeping.
  • Consent (Art. 6(1)(a)), where used:
    • certain marketing or non-essential cookies/analytics.

Providing business contact and billing data is necessary for us to contract and deliver services; without it, we generally cannot do so. Providing data for marketing is voluntary.

We do not use solely automated decision-making with legal or similarly significant effects.

3. Cookies & similar technologies

We may use:

  • Necessary cookies to run the site and keep you logged in.
  • Optional cookies/analytics only where permitted by law or based on your consent.

You can control cookies via your browser and, where available, via our cookie banner.

4. Who we share data with

We share data only where needed:

  • authorized BuiltMind staff,
  • service providers (e.g. hosting, CRM, email, analytics, invoicing) acting as our processors,
  • professional advisers (e.g. lawyers, auditors, tax advisers),
  • authorities where required by law.

Processors act only on our instructions and may not use the data for their own purposes.

5. Storage locations & international transfers

Data is primarily stored in the EU/EEA.

If data is transferred outside the EU/EEA, we use appropriate safeguards (e.g. adequacy decisions or standard contractual clauses). Details are available on request.

6. Retention; Security Measures

We keep data only as long as needed:

  • contract, account & billing data: for the contract term and usually up to 5–10 years (legal duties & limitation periods),
  • communication data: for the contract term and a reasonable period after,
  • technical logs: typically up to 12 months, longer only if needed for security or legal reasons,
  • marketing data: until you opt out or we stop sending communications.

After that, data is deleted or anonymized.

We implement technical and organizational measures appropriate to the risks, including access controls, encryption in transit and at rest, internal policies, employee confidentiality, and regular monitoring of system security.

7. Your rights

You can contact us at info@builtmind.com to:

  • request access, correction, deletion or portability of your data;
  • request restriction of processing;
  • object to processing based on legitimate interests or to marketing;
  • withdraw consent (where used), without affecting past processing.

You can also lodge a complaint with a supervisory authority, in particular the Czech Data Protection Authority.
